Claude Code Runs My Entire Business (Full Breakdown)

Here’s a thought experiment: if you decided to go hiking in Kilimanjaro for two weeks, would your business keep running without you? I’ve automated eight core processes using Claude Code, and in this breakdown, I’m going to walk you through all of them.

1. Mailbox Health Monitoring

Every Monday morning, I receive an automated report showing critical metrics for each individual mailbox: how many emails it sent, how many replies it received, the unique reply rate, bounce count, and bounce rate. This allows me to automate the process of spinning up new mailboxes and retiring old ones that are beyond repair.

I use Zapmail for my cold email infrastructure, and it has an API that connects directly to my automation. Based on certain thresholds—when reply rates drop below a certain level or bounce rates increase above a certain level—the system automatically spins up new mailboxes and retires dead ones. This saves me countless hours of manual monitoring and intervention.

2. Multi-Signal Campaign Builder

This is something I’m extremely proud of. You literally just talk to Claude Code and answer questions for about 15 minutes. Once it has all the information it needs, it builds the entire campaign for you end to end and notifies you in Slack once every step is completed.

Here’s how it works: You load up Claude Code, paste in your files, and say “Hey, read these files and ask me what you need to know.” It then asks about your target audience—job titles, geography, industry, company size. It offers a range of signal options and asks which you want to track. You can even run a trait-based standard campaign without signals if you prefer.

The system chains through all steps in batches and writes everything to Google Sheets. First, it performs a company search in Apollo, tells you how many companies match your criteria, calculates the credit cost, and shows your remaining balance. You can adjust parameters like company headcount range, industry filters, or technology filters before proceeding.

Once you approve, it pulls all companies into the Google Sheet and qualifies every single company based on their description. For companies with insufficient details, it runs serp.dev to query Google for better company descriptions. We use OpenAI’s API for this qualification step because it’s more cost-effective when running thousands of rows at scale—typically using GPT-4o mini or GPT-4.1 mini for more complex tasks.

Next, it checks for signals using various Apify actors to find recent, relevant information. Then it performs a people search to find decision-makers with the specified job titles, but only at qualified companies to save credits.

Here’s the smart part: even when you specify exact job titles, the system runs GPT to qualify each person because people give themselves all kinds of titles. A classic example is “Personal Assistant to CEO”—they have “CEO” in their title but aren’t actually decision-makers.

On qualified leads only, it pulls email addresses from Apollo, which provides emails validated within the last 30 days by BounceBan. If emails haven’t been validated recently, Apollo validates them during export. Finally, it generates the personalizations you need and loads everything into your LinkedIn sequencer or cold email sequencer.

3. Content Repurposing

YouTube is a big focus of mine, and I’ve automated the entire content repurposing process. Here’s how it works: I have an RSS monitoring module that checks every day at 6 a.m. for new videos published on my channel. When it finds one, it pulls the video data including the URL and feeds it into an Apify actor.

The actor pulls the transcript and feeds it to Claude, which analyzes it and writes an SEO-optimized blog post that gets published to my WordPress website automatically. It identifies target keywords and phrases for search engine ranking and AI citations. I recently got my first discovery call from someone who found me by asking ChatGPT who they should talk to—they discovered one of my YouTube videos. This shows how powerful it is to have interconnected content across platforms.

The automation even adds hyperlinks to commonly used tools I mention. Another step has Claude write a newsletter email scheduled in Mailerlite, which helps drive more viewers to the channel by notifying my email subscribers about new videos.

4. LinkedIn Engagement Workflow

Hands down, this is the best evergreen outbound workflow I’ve ever built. It gets the highest positive reply rates out of anything I’ve seen—often one in three or one in four positive replies, with email reply rates easily hitting 10%.

I maintain a list of about 240 direct or indirect competitors who target exactly the same audience on LinkedIn. These are influencers who post regularly and get tons of engagement. Every day, an Apify actor runs and finds their posts, then identifies who’s commenting and reacting.

The system checks that these people haven’t already been added to a campaign or filtered to our block list. Then it runs an initial pre-filtering step using just their headline with a GPT prompt to identify competitors or completely irrelevant prospects.

For those who pass, another Apify actor pulls their full LinkedIn profile—employment history, current company, title, location, industry. A series of GPT prompts runs a full ICP check. If they pass, we validate their email by looking them up in our lead database.

We then generate personalized snippets and sentences to make the messaging extremely relevant at scale, and add them to HeyReach (my LinkedIn sequencer of choice) and SmartLead (for cold email). You can use Expandi, LinList, Instantly, or whatever tools you prefer.

5. Custom Lead Magnet Delivery

This automation is case-by-case, but here’s a concrete example: Let’s say you’re an advertising agency and your outreach offers to pull a prospect’s ads from the Google Transparency Center and provide feedback on how to improve them.

When a positive reply comes in, it triggers an automation that runs an Apify actor to pull their actual ads. Claude then analyzes the data with a custom prompt, figures out what’s good and what could be improved, and compiles a polished report.

This report gets put into an email and sent back to the lead within 20-30 minutes (not immediately—that looks too automated). The email also includes your pitch and a calendar link. This works with any information you can find online about leads using various actors or scrapers, delivering immediate, high value that makes the prospect much more likely to book a call.

6. Sales Automation

When I complete a sales call with someone who wants to move forward, I fill out an agreement generator form during the call while the person is still on. I enter their company name, deliverables, timeline, recommended tools, guarantees, price and currency, payment frequency, applicable laws, contact details, and agreement date.

This triggers the entire process of generating a custom agreement document, sending it through DocuSign, creating the new customer in Stripe, creating a new product, creating an invoice, and emailing it to the customer—all automatically.

7. New Client Onboarding

After a new customer signs the agreement and pays in Stripe, I fill out a simple onboarding form with just their company name, first and last name, and email address. This triggers an automation that clones an existing folder structure in my Google Drive.

Inside that folder are various subfolders for assets, copywriting documents, lead lists, sales assets, lead magnets—everything we need for the engagement. Access links get emailed to the client within less than a minute, creating a smooth onboarding experience without any manual work on my part.

8. LinkedIn Content Creation

I automate 99% of my LinkedIn content using Claude, though not with Claude Code—I use an interactive approach with Claude Desktop that’s still worth sharing.

I have a Claude project called “LinkedIn Post Writing System” with several connectors, the main one being Apify. This enables Claude to call various actors through the API and conduct research on social sites where Claude would normally get blocked—X, LinkedIn, Reddit, and YouTube.

I tell Claude what I’m thinking about writing, and it calls those actors to find all relevant content. The project also contains markdown files with my voice profile, viewpoints, positioning, market awareness, and content pillars. Claude reads all of this, combines it with the research, and uses a hook generator to create 20 different hooks for the post.

It then writes the first draft and selects the best call-to-action based on whether the content is top, middle, or bottom of funnel. I run it through a “humanizer” file that removes AI-isms and makes it sound more natural. I review and edit the post in a Google Doc until I’m happy with it—I am always the human in the loop and never publish anything without vetting it personally.

Using this system, I can write a high-quality LinkedIn post in 5-10 minutes, and it’s consistently better than if I tried to write it entirely by myself.

These eight automations have transformed how I run my business. They save me dozens of hours every week and allow me to focus on high-value activities like strategy and client relationships. More importantly, they mean my business can run smoothly even when I’m not actively working on it.

The beauty of these systems is that they’re not one-size-fits-all.
